Job Overview

The Club Development Officer (DO) oversees the implementation and management of the Club’s youth programs, including program delivery, youth coach support, and session management, with program sessions held 1 to 2 times a week.

Responsibilities include organizing competitions, monitoring performance, managing schedules, ensuring project compliance, fostering continuous improvement, and handling administrative tasks. This role, requiring 24 to 32 hours of work per week (3 to 4 days a week), emphasizes adherence to standards and the promotion of a positive, inclusive environment for youth development.

Rugby knowledge and experience is not required but is a plus.

The DO holds the overarching responsibility of driving the Club’s youth programs toward its objectives and goals. This role involves coordinating, managing, and ensuring the smooth execution of program activities while maintaining clear communication with stakeholders, partners, and participants. The DO upholds the Club values and fosters a positive and inclusive environment that promotes the holistic development of youth participants.

Program and Competitions Management

1. Program Implementation

  • Coordinate operational, administrative, and financial management support for the program.
  • Organize recruitment, promotional, and engagement activities to attract participants.
  • Serve as the primary communication link for program activities with donors, partners, and community members.
  • Ensure compliance with key cross-cutting donor commitments and safeguarding protocols.

2. Youth Coaches Coaching and Management

  • Manage and support Youth Coaches in executing activities and adhering to schedules.
  • Provide guidance, training, and feedback to enhance Youth Coaches’ skills and performance.
  • Conduct regular observations and ensure adherence to coaching standards.

3. Sessions Delivery Management

  • Oversee session delivery, including coaching sessions, workshops, meetings, and events.
  • Coordinate logistics and facilities required for program activities, including meals and drinks.
  • Manage facilities and equipment distribution and replacement needs.
  • Handle Incidents and emergencies, promptly addressing and reporting any incidents according to established procedures.

4. Competitions Management

  • Plan, organize, and manage youth rugby competitions.
  • Ensure competitions uphold safety, quality, and sportsmanship standards.

5. Performance Management

  • Develop a detailed understanding of the rugby and life skills curriculum and performance tools.
  • Ensure adherence to performance protocols in all implementation locations.
  • Prepare, collect, and verify registration forms, baselines, and end lines.
  • Lead data collection and submission, tracking changes to performance.
  • Conduct periodic checks on data collection, and write performance reviews.
  • Ensure timely entry of all data into Salesforce.

6. Schedule and Timeline Management

  • Develop and manage program timelines, schedules, and milestones, aligning them with the overall project plan.
  • Regularly track progress against established timelines and milestones, ensuring tasks are completed on time.

7. Project Compliance

  • Ensure strict adherence to donor agreements, project commitments, and specified targets, in coordination with Program DO and other stakeholders.
  • Prepare accurate and comprehensive reports for submission to donors and partners, showcasing program achievements, challenges, and plans.

8. Continuous Improvement

  • Actively identify areas for program enhancement by monitoring program activities and outcomes.
  • Provide constructive feedback and recommendations to enhance program effectiveness, efficiency, and impact.

9. Program Administration

  • Work with Program Officers and Administrators in completing program requirements, reports, and records
  • Perform tasks and comply with procedures for finance and administration requirements

10. All other tasks and responsibilities not explicitly outlined herein shall be diligently undertaken by the Club Development Officer as required for the effective execution and management of the youth programs. The Club Development Officer shall demonstrate adaptability, effective communication, and a proactive approach to ensure the success of program objectives and the holistic development of its participants.

The position requires someone who is committed to the club’s values, vision, and mission. The candidate must be a strong communicator, able to work well in a team, and able to solve problems creatively. The candidate must be someone who works with accountability and integrity to set and meet deadlines in a dynamic environment.

Required

  • Entry Level with Senior High School Diploma/Any College.
  • Experience working with children and youth.
  • Proficient in MS Office and have strong computer skills.
  • Excellent verbal and written communication skills and proficiency in both English and Filipino.
  • Strong interpersonal, organizational, and time-management skills.
  • Excellent analytical skills and attention to detail.
  • An interest in learning technical project management skills, including budgeting, proposal writing, and reporting to international donors.
  • Willing to work 24 to 32 hours a week
  • Willing to work during the evenings and weekends when required.
  • Willing to report to Makati City and travel around the area and to partner communities as needed.

Desired

  • Sports coaching experience, specifically rugby with formal qualifications, is an advantage.
